All Souls Artistic Operations Manager and Musica Viva NY Production/Administrative Manager position:
About the position
The renowned All Souls Music Department and Musica Viva NY (a non-profit arts organization housed at All Souls) are seeking an experienced professional to help plan and produce musical performances for both organizations. The position is two-fold: Artistic Operations Manager for All Souls’ musical performances during Sunday morning worship, periodic concerts, rehearsals, special events and renters that require music; And Production/Administrative Manager for Musica Viva NY (MVNY) which presents four concerts a year at All Souls with programs ranging from the beloved pieces from the classical cannon to contemporary music and new commissions. The position reports to All Souls/MVNY’s Music Director/Artistic Director, and MVNY’s Executive Director.
Primary responsibilities include:
All Souls -Artistic Operations Manager
- Coordinate all worship service music logistics with ministers, facilities staff, including setup information, ensemble positioning, timings and lighting
- Personnel manager for All Souls and Musica Viva NY choir (with an assistant)
- Determine roster of musicians needed. Hire substitute musicians and singers
- Schedule and facilitate auditions
- Obtain music and equipment needed for All Souls services and MVNY concerts
- Coordinate with the contractor for orchestra musicians for music for All Souls services and MVNY concerts
- Communicate weekly music plans for inclusion in church messaging and publications
- Assist in facilitating music for non-worship rental events such as weddings and memorial services.
- Attend All Souls and Music Department staff meetings
- Prepare payroll
- Keep instruments in proper working order by scheduling tunings and maintenance
- Main liaison between the music department and All Souls staff
- Provide Music Librarian with accurate attendance information
- Prepare and maintain annual budget for relevant expenses of the music department
- Maintain organized digital and physical filing system
Musica Viva NY Production and Administrative Manager
- Production manager and stage manager for MVNY concerts
- Prepare estimates of all concert expenses for the annual budget
- Prepare payroll for singers and production staff for each concert
- Main liaison between All Souls Music Department and staff, and Musica Viva NY
- Assist ED in fundraising efforts (enter donations in Ovation, write thank you letters, assists with logistic/production of special/fundraising events)
- Assist ED and Marketing Director with Marketing and PR efforts (supply relevant information for concert program and promotion, video/audio for use in Social media etc.)
- Schedule MVNY musicians for community engagement programs
- Assists with administrative duties (such as make bank deposits, get and sort mail, check phone messages, get office supplies, organize digital and physical files, data entry)
- Schedule and attend weekly MVNY staff meetings and assist in setup of board meetings
- Other duties as assigned by AD and ED
Qualifications:
- 5 years of combined experience in music production, stage management and musician personnel management
- Knowledge of classical music, especially choral repertoire
- Ability to read music
- Excellent time management and project management skills
- Strong communication and relationship-building capabilities
- Strong written and verbal communication skills.
- 2 years of non-profit arts administrative experience preferred (financial, fundraising, marketing and office support)
- Experience creating and managing budgets
- Flexible and supportive
- Facility and competency working with Microsoft Office Suite, Google Suites, Dropbox, OvationTix, required; Canva, Mailchimp preferred
- Bachelor’s Degree in music, music education, and/or arts administration with focus on music.
Hours and compensation:
This is a part-time, 12 months position. Hours: 20 hours per week of which Wednesday12-8pm and Sundays 9am -1pm are fixed and on-site; the remaining hours are proportionally distributed between All Souls and Musica Viva NY and are flexible and can be both remote and on-site. Weekly hours increase around concert weeks and special events and decrease at other times. Compensation 26K annually.
